Terms & conditions
These terms govern your use of PulseScore — the app, the web dashboard, and everything connected to them. PulseScore is operated by PulseScore Ltd. By creating an account, entering a squad code, or otherwise using PulseScore, you agree to them. If you do not agree, please do not use the service. Our Privacy policy explains how we handle personal data and forms part of these terms.
01 Who we are
PulseScore is operated by PulseScore Ltd, a company registered in England and Wales (company number 17231193), registered with the Information Commissioner's Office under reference ZC196439. In these terms, "we", "us", "our" and "the Company" mean PulseScore Ltd; "you" and "your" mean the person or organisation using PulseScore.
Registered office: 6 Manor Way, Worcester Park, KT4 7PH, United Kingdom. You can reach us at admin@pulsescore.life.

03 What PulseScore is — and is not
PulseScore is a communication and readiness tool for sport. Players complete short daily check-ins — a few words by voice and a couple of sliders, in about 90 seconds — and the Service measures each voice note against that person's own previous check-ins. It turns that into a simple signal of energy, readiness and how a session landed. Coaches see an anonymous team-level view designed to help them read the room and support their players; they see the team pattern, not who said what.
The measurement is deterministic acoustic measurement — established signal processing, where the same clip always produces the same numbers. It is a deviation instrument: it tells you how someone differs from their own normal, not how they compare to anyone else.
PulseScore is not a medical device. It does not diagnose, treat, monitor or predict any medical condition or injury, and it must not be used as a substitute for professional medical, psychological or safeguarding advice. Nothing the Service shows replaces human judgement: coaching, welfare and safeguarding decisions remain entirely yours. No outcome about any individual is decided by the Service alone.
04 Accounts, codes and eligibility
Coaches sign in by email. Players in a squad join with a squad code and a personal PIN — no email or password is required. You are responsible for keeping your login details, code and PIN confidential, and for activity that happens under your account. Tell us promptly if you think your account or a squad code has been misused.
You must give accurate information when you set up an account and keep it up to date. We may suspend or close an account that is being used in breach of these terms.
05 Players under 18
Where a squad is operated by a school, club or academy, that Organisation is responsible for obtaining any consent required for its players — including players under 18 — and for confirming it holds the authority to enrol them. The Organisation, not the Company, holds consent authority for its players.
Players under 18 in a squad are treated as anonymous by design: they are identified by a code and PIN, with no name and no photograph. An Organisation must not enrol a minor without the appropriate consent under applicable law (including the UK GDPR and, in South Africa, POPIA). If you believe a minor has used the Service without the necessary consent, contact us and we will act promptly.
06 Who owns the data
Who controls player data depends on which model applies.
Squad model — the Organisation controls the data
Where a squad is run by an Organisation, the Organisation is the data controller. It holds the licence, it decides how the squad is set up, and the player data belongs to it. A coach is a role within the Organisation: when a coach leaves, their access ends but the data remains with the Organisation. We act as processor on the Organisation's behalf, under these terms and any separate data processing agreement.
1:1 model — the Player controls the data
Where an individual uses PulseScore for themselves, the Player is the hub. The Player owns their own data and grants permissioned access to each coach they choose to work with. A coach in this model is an invited service provider and sees only what the Player permits.
07 Voice recordings & measurement
When a Player records a voice note, it is measured and then destroyed. We do not keep the audio and we do not keep a transcript of what was said. The recording is measured in memory, the numbers are written, and the audio is discarded — immediately, before the response is stored. What remains is a short row of measurements against that person's baseline, with no words attached.
A coach never receives the content of a Player's voice note. A coach sees only the derived signal — the sense of how the team is doing — and the fact that a Player has responded. The words themselves are never shared.
Because the audio and words are not retained, we cannot recover the content of a recording after it has been measured. This is deliberate. Full detail of how we handle personal data is set out in our Privacy policy.
08 Acceptable use
When using PulseScore, you agree that you will not:
- use the Service for anything unlawful, or in breach of anyone's rights;
- upload content that is abusive, harassing, defamatory or otherwise harmful;
- attempt to identify, re-identify or single out an anonymous player;
- use another person's account, code or PIN without permission;
- try to access, copy or reverse-engineer the underlying measurement engine, the phrasebook, or any other part of the Service not made available to you;
- interfere with, overload, probe or attempt to circumvent the security of the Service;
- use the Service to build a competing product, or to scrape or extract data at scale.
We may suspend or remove access if these rules are broken.
09 Subscriptions, billing & free trial
PulseScore is offered on the plans set out on our pricing page, including individual, squad and organisation tiers. The first month is free; charges begin after the free period unless you cancel before it ends.
Purchases through the App Store
Individual subscriptions bought through the Apple App Store are billed by Apple and managed in your App Store account. Your subscription renews automatically unless you turn off auto-renew at least 24 hours before the end of the current period. Refunds for App Store purchases are handled by Apple under its terms.
Squad and organisation subscriptions
Squad and organisation plans are billed by us, per the plan you choose, in advance for each billing period, and renew automatically unless cancelled. Prices are as shown at the time of purchase and may change on renewal, with reasonable notice. Except where the law requires otherwise, or as stated for a specific offer, fees already paid are non-refundable. Where we have agreed a fixed pilot price for a season, that price is held for the agreed period. [Confirm cancellation notice period and refund terms for direct plans.]
10 Intellectual property
The Service, and everything in it — the software, the measurement engine, the phrasebook, the designs, the brand and the name PulseScore — belongs to PulseScore Ltd or its licensors, and is protected by intellectual property law. We grant you a limited, non-exclusive, non-transferable, revocable licence to use the Service for its intended purpose while these terms are in force. Nothing here transfers any of our intellectual property to you.
You keep ownership of the Content you enter, subject to the ownership model in clause 6. You grant us the permissions we need to operate, provide and improve the Service — for example, to store your check-ins and to produce the measurements and team views. We will only use your Content to run the Service, as described in these terms and the Privacy policy.
11 Data protection
We take privacy seriously — it is built into how the Service works, not bolted on. We handle personal data in line with the UK GDPR and the Data Protection Act 2018 (and, where applicable, POPIA in South Africa). Our Privacy policy explains what we collect, why, how long we keep it and the rights you have. Where an Organisation is the data controller for a squad, we act as its processor, and a separate data processing agreement may apply.
12 Availability, pilot status & changes
PulseScore is offered on an ongoing basis but we do not promise it will be available without interruption or free of faults. We may carry out maintenance, update features, or change how parts of the Service work. Parts of the Service may be offered in pilot or early-access form; these may change or be withdrawn as the product develops. We will give reasonable notice of any material change that affects you.
13 Third-party services
The Service relies on third parties — for example, the Apple App Store for distribution and billing of individual subscriptions, and cloud infrastructure providers for hosting. Your use of those services is also subject to their terms. We are not responsible for third-party services we do not control, though we choose our providers with our privacy commitments in mind.
14 Disclaimers & liability
The Service is provided "as is" and "as available". To the fullest extent permitted by law, we exclude all implied warranties. The measurements and signals PulseScore produces are indicative and support human judgement; they are not guarantees of performance, wellbeing or safety, and must not be relied on as the sole basis for any welfare, medical or safeguarding decision.
Nothing in these terms limits or excludes our liability where it would be unlawful to do so — including liability for death or personal injury caused by our negligence, or for fraud. Subject to that, we are not liable for loss that is not reasonably foreseeable, for loss of profit, revenue or data, or for business interruption. Where we are liable to you, our total liability in any 12-month period is limited to the greater of the amount you paid us for the Service in that period or [£100].
If you use the Service on behalf of an Organisation, you confirm you have authority to accept these terms for that Organisation, and you agree to cover us against claims arising from that Organisation's failure to obtain any consents it was responsible for obtaining.
15 Term, termination & deletion
These terms apply for as long as you use the Service. You may stop using PulseScore and close your account at any time. When an account is deleted, we remove or anonymise the associated personal data as described in our Privacy policy; because audio and words are never retained, there is nothing of that kind to recover.
We may suspend or end your access if you breach these terms, if required by law, or if we stop offering the Service. Terms that by their nature should survive — including intellectual property, disclaimers, liability and governing law — continue after your use ends.
16 Assignment & transfer
You may not assign or transfer your rights or obligations under these terms without our prior written consent.
We may transfer these terms. We may assign, novate or otherwise transfer our rights and obligations under these terms — together with the agreement between us and, where lawful, the associated accounts and personal data — to another entity. This includes a transfer in connection with a merger, acquisition, reorganisation, or a sale of all or part of our business or assets.
Where that happens, the entity receiving the transfer will take on our role and obligations under these terms and our Privacy policy, and will continue to handle personal data in line with the same commitments and applicable data protection law. We will give you reasonable notice of any such transfer that materially affects you, and your rights under these terms will not be reduced by the transfer.
This clause keeps the Service, your account and these terms portable to a successor entity, so that continuity is preserved if the business changes hands.
17 Changes to these terms
We may update these terms from time to time — for example, to reflect changes to the Service or to the law. When we do, we will change the "last updated" date above, and for material changes we will give you reasonable notice. Continuing to use the Service after a change takes effect means you accept the updated terms.
18 Governing law
These terms, and any dispute arising out of or in connection with them, are governed by the laws of England and Wales, and are subject to the exclusive jurisdiction of the courts of England and Wales. If you are a consumer, this does not remove any protection you have under the mandatory law of the country where you live.
19 General
- Entire agreement. These terms and the Privacy policy are the whole agreement between us about your use of the Service.
- Severability. If any part of these terms is found to be invalid, the rest continues to apply.
- Waiver. If we do not enforce a right, that is not a waiver of it.
- No partnership. Nothing here creates a partnership, agency or employment relationship between us.
- Notices. We may give notice through the Service or by email; you can reach us at the address in clause 20.
